Sage 100 Purchase Order Received in Full But Still Shows Backordered
The goods are in. Quantities ordered match quantities received, line for line — and Sage 100 still calls the purchase order backordered. The status is not a glitch. It is waiting on a number most teams never check.
Your Sage 100 purchase order was received in full but still shows backordered — the warehouse swears the goods arrived, receiving swears the counts match, and the order sits open anyway. Everyone re-checks the two numbers they can see. The order is waiting on the third one.
Sage 100 Purchase Orders Close on Three Numbers, Not Two
Receiving the goods is only two-thirds of the job. A Sage 100 purchase order is not complete until three quantities agree on every line: what was ordered, what was received, and what was invoiced. Ordered and received can match perfectly and the order still stays in backorder status — because the invoiced quantity was never brought into line.
That is why the obvious fixes fail. In the Sage Community Hub thread behind this post, the poster had already tried nudging line quantities up and back down, and re-receiving at zero. Neither moved the status — neither touches the quantity the order is missing.
The Invoice That Went to the Wrong Place
The most common cause is quiet: the vendor invoice gets entered in Accounts Payable instead of against the purchase order itself. On the AP side the bill looks handled. On the PO side, nothing was ever invoiced — so the three quantities never meet, the order never completes, and the difference lingers on the Purchases Clearing report, which exists to surface exactly this gap. And if that AP invoice already posted, unwinding it is not a delete — it takes a correcting entry, in the right order, or the balance just moves.
Frequently Asked Questions
Why does my Sage 100 PO still show backordered after a full receipt? Because completion needs ordered, received, and invoiced quantities to match on every line — a full receipt alone does not close it.
Where does the leftover balance show up? On Purchases Clearing, which is built to show where received and invoiced quantities disagree.
What an Open Purchase Order Costs
An order that will not close keeps distorting what you think you have committed to buy. Month-end inherits a clearing balance nobody can explain, and the next order gets placed against stock already on the shelf. One stuck PO is an annoyance; a backlog of them is a purchasing system nobody trusts.
