Sage 100 Lot and Serial Tracking: What Goes Wrong

The shipment went out right — but can you prove which lot or serial number went with it? When that answer is a guess, every recall and return gets harder.

For a distributor, lot and serial tracking is the memory of every unit that passes through the warehouse: which lot it arrived in, which serial number it carried, and which customer received it. When that memory is incomplete, the business can ship correctly for months and still be exposed — because the question that matters is not whether the order went out, but whether the unit can be traced back afterward.

Three Ways the Trail Goes Missing

Tracking starts too late. If lot and serial numbers are only recorded when an order ships, the trail starts in the middle of the story. What arrived, when, and in what condition is already a matter of someone's recollection — and a recall question that reaches back to receiving has no record to reach.

One number means more than one thing. A serial number entered twice, a lot split across bins without its identity following it, a returned unit put back on the shelf under a fresh number — each one quietly breaks the chain. The system still shows stock, but the stock it shows can no longer be trusted unit by unit. Our post on inventory that doesn't match the warehouse looks at the same trust gap from the count side.

Returns erase the history. A unit comes back, goes back into available stock, and its original shipment is forgotten. The next time that unit ships, nobody can say where it has been — and a warranty or quality question about it has no beginning. The causes of negative inventory often rhyme with this one: the record and the floor stopped agreeing long before anyone noticed.

What Waiting Costs

Every month the trail stays patchy, the exposure grows: a recall that cannot be narrowed to the affected units, a return that cannot be verified, a customer dispute where the distributor cannot prove what actually shipped. The cost is not the tracking itself — it is answering a traceability question with a shrug, in front of the customer who asked it.

Find the Break in Your Trail — Free

Our free Sage 100 Health Check looks at how lots and serials actually move through your warehouse — receiving, bins, shipping, and returns — and shows where the trail breaks before a recall or a return finds it for you. Every Digit Masters consultant is a licensed U.S. CPA, so the conversation covers the stock and the books together; our inventory management and distribution pages show what that step looks like. Before the next return asks a question you cannot answer, find out where your trail goes missing.
