Sage 100: Back Orders Are Not Allowed for This Item
Your sales order is ready to ship, stock runs short, and Sage 100 refuses to backorder the line: “Back orders are not allowed for this item.” The order stalls — and the message gives no clue where the block lives.
Sales order backorders are how a distributor ships what is on hand and keeps the rest promised instead of losing the sale. So when Sage 100 throws up “Back orders are not allowed for this item,” the order does not just pause — the shipment, the invoice, and the customer promise behind it all stall with it. And the message itself points nowhere useful.
One Item Setting, Not the Whole Order
The block lives on the item, not the order. Whether an item may be backordered is a setting carried by the item itself — which is why only some lines on an order stall while the rest move fine. A distributor chasing this error usually suspects the bill of materials first. In the Sage Community Hub thread this post is grounded in, the user removed the BOM to test — and the error stayed. The BOM was never the cause.
That is what makes the error so expensive to chase. Everything about the order looks right — the item exists, the quantity is entered, the order is otherwise shippable. The setting that refuses the backorder sits where nobody checks while an order is waiting to ship.
Why the Fix Does Not Always Stick
A product line can carry the same setting to every item under it — set it once, apply it across the line. But items set up before that change can sit outside it: grandfathered exceptions following the old rule while the rest of the line follows the new one. That is the trap that turns a five-minute setting into a second stalled shipment weeks later.
What a Stalled Order Costs
A stalled order is not one delayed shipment. It is a customer told to wait without an answer, warehouse time spent re-checking an order that looks fine, and a workaround — splitting the order, re-keying lines — that creates the next error. Soon the team stops promising backorders at all, and the distributor starts losing sales it could have kept.
Find the Block Before Your Next Shipment Stalls
Our free Sage 100 Health Check looks at how backorder settings are set up across your items and product lines — and finds the exceptions before they stall another shipment. Every Digit Masters consultant is a licensed U.S. CPA, so the review covers your order flow as well as your system, and our support plans keep the setup working once it is fixed. Before the next order stalls on a line that looks perfectly fine, find out where the block lives.
