Sage 100 Bank Reconciliation: Clearing Months of Backlog

Your bank balance and your Sage 100 balance stopped agreeing months ago — and nobody has had a quiet week to find out why. Every unreconciled month since then has been posted on top of a number nobody can fully trust.

Bank reconciliation is the one routine that tells you whether the cash in Sage 100 is real. Skip a month and the next month still reconciles — eventually. Skip several, and the gap stops being a chore and starts being a blind spot: the balance on screen is a mixture of verified transactions and months of items nobody has matched, explained, or questioned.

Three Things a Backlog Hides

Cash you may not actually have. Outstanding checks, deposits in transit, bank charges, and errors all sit inside an unreconciled balance. Until they are separated out, every spending decision, every draw, and every forecast leans on a number that could move once the months are worked through.

Errors that get harder to trace. A duplicate entry or a missing deposit from three months ago is a detective job; from eight months ago, it is an archaeology dig. The person who posted it may have moved on, the source document may be filed away, and the trail that would have taken minutes now takes days — if it can be followed at all.

A close that cannot finish cleanly. Month-end and year-end close both assume reconciled cash. Our year-end close post explains why sequence decides whether a close holds: close on top of unreconciled months and the difference does not vanish — it surfaces later, in the worst month, as a variance nobody can explain.

What Ignoring It Costs

The backlog never stays the same size. Each new month adds its own unmatched items to the pile, and the team learns to work around the uncertainty instead of resolving it — checking the bank portal instead of Sage, keeping side spreadsheets, second-guessing the balance before every payment run. The cost is not the cleanup; it is months of decisions made without a number anyone would defend.
