Multi-Warehouse Auto Parts Distributor: Sage 100 v2022 to v2025 Parallel Migration

The Challenge
A multi-location automotive aftermarket parts distributor was running Sage 100 2022 with a third-party payment processing integration that stored data both inside SQL Server and in separate flat files outside the database. The business needed to upgrade to Sage 100 2025 across two active companies without disrupting daily order processing, and the payment processor's hybrid storage architecture made a standard migration approach unworkable.
Our Approach
- Performed a pre-migration audit identifying the payment processor's hybrid SQL + flat-file storage architecture as the primary migration risk.
- Established a new named SQL Server instance and ran a parallel migration: both companies were converted to Sage 100 2025 in a test environment while the live v2022 system remained operational.
- Developed and executed a sequenced reinstallation plan for the payment processor plugin — install Sage 2025, install the plugin, migrate data, reinstall the plugin, update company configuration tables, then re-enter payment processor configuration.
- Validated core workflows (order entry, receiving, inventory transactions, AR/AP) in the parallel environment before scheduling cutover.
The Result
Both companies were successfully migrated to Sage 100 2025 with the payment processing integration fully functional post-migration, with no disruption to daily order processing during the transition window.
