The Challenge

A Southern California wholesale apparel distributor operating three warehouses was running Sage 100 2020, approaching end of mainstream support. Their environment included an EDI integration for big-box retail partners, barcode scanning for warehouse receiving, and a custom Crystal Reports suite covering order fulfillment and inventory turns by warehouse.

The primary concern was EDI compatibility: their EDI provider had released a new version certified for Sage 100 2024, but the upgrade sequence required installing the new EDI plugin before running data conversion — in the wrong order, the EDI configuration tables would be corrupted.

Our Approach

We started with a pre-migration compatibility audit covering all three integrations (EDI, barcode scanning, Crystal Reports). The EDI provider confirmed their new version required installation before Sage 100 data conversion; the barcode scanning add-on required a patch update available after conversion. We documented the correct sequence before touching any production data.

A parallel SQL Server instance was set up for the upgrade environment. After installing Sage 100 2024 and the pre-conversion EDI plugin, we ran the migration wizard and validated all three company databases. Barcode scanning was updated and tested post-conversion. All twelve custom Crystal Reports were checked against the new table structure — three required minor field path updates.

Cutover was scheduled for a Friday evening, outside peak order-entry hours, with the legacy system kept available read-only through the following Monday.

Results

Zero EDI Downtime

Retail trading partner EDI connections remained operational through cutover with no chargebacks or missed transmission windows.

All Custom Reports Preserved

All twelve Crystal Reports were validated and updated as needed — the warehouse-level inventory turn and order fulfillment reports were available to management on day one after go-live.

Go-Live on Schedule

Cutover completed within the planned weekend window. Staff were fully operational on the new version Monday morning with no issues requiring rollback.
